The terms and conditions governing your use of Verified Space
These Terms of Service ("Terms") constitute a legally binding agreement between you (whether as an individual or on behalf of an organisation) and VerifiedSpace Platforms Ltd. ("VerifiedSpace", "we", "us", or "our"). By accessing or using the Verified Space platform at verifiedspace.co.uk, you agree to be bound by these Terms. If you do not agree, you must not use the platform.
These Terms apply to all users of the platform, including store managers, charity organisations, fundraisers, and administrators.
Verified Space is a digital booking platform designed to connect registered charity organisations with retail stores and venues for fundraising opportunities. Our platform provides:
For Store Managers: Tools to create and manage available time slots, review and approve booking requests from charities, provide feedback on fundraisers, and access comprehensive audit trails.
For Charity Organisations: A marketplace to discover available venues, request bookings, assign trained fundraisers, provide feedback on venues, and track fundraising performance.
For Both: Charity verification through the UK Charity Commission, double-booking prevention, a two-way feedback and rating system, and regulatory compliance through detailed audit trails.
Waiting List: Access to Verified Space is managed through a waiting list and approval process. Submitting an application does not guarantee access. We reserve the right to approve or decline applications at our sole discretion.
Account Accuracy: You must provide accurate, current, and complete information when creating your account. You are responsible for keeping your account information up to date.
Charity Verification: Charity organisations must provide a valid, registered UK Charity Number. Our team verifies this information against the UK Charity Commission as part of the account approval process. Until verification is confirmed by our administrators, charity accounts will not have access to booking features. Providing false or misleading charity registration details is grounds for immediate account termination.
Account Security: You are responsible for maintaining the confidentiality of your login credentials. You must notify us immediately at hello@verifiedspace.co.uk if you become aware of any unauthorised use of your account.
One Account Per Organisation: Each organisation may maintain one primary account. Additional user accounts may be created by administrators as needed.
You agree to use Verified Space only for its intended purpose and in compliance with all applicable laws and regulations. You must not:
Use the platform for any unlawful, fraudulent, or harmful purpose. Misrepresent your identity, charity registration status, or affiliation with any organisation. Interfere with or disrupt the platform's infrastructure, security, or other users' access. Attempt to gain unauthorised access to any part of the platform, other user accounts, or our systems. Use automated tools, bots, or scripts to access the platform without our express written permission. Submit false, misleading, or defamatory feedback or ratings. Harass, abuse, or threaten other users of the platform. Use the platform to collect or harvest personal data of other users for purposes unrelated to legitimate platform use.
Booking Requests: All bookings are subject to approval by the store manager. A booking request does not guarantee a booking. Store managers may approve or decline requests at their discretion.
Fair Access: Our platform operates on a first-come-first-served basis. Charities with a consistently high reputation rating (4 stars or above) may receive early access to newly published time slots. This system is designed to incentivise professionalism and quality.
Double-Booking Prevention: Our platform includes automatic safeguards to prevent double-bookings. Users must not attempt to circumvent these protections.
Cancellations: If you need to cancel an approved booking, please do so as early as possible through the platform. Repeated last-minute cancellations may affect your reputation score and standing on the platform.
Fundraiser Assignment: Charities are responsible for assigning appropriately trained fundraisers to confirmed bookings. Fundraisers should hold valid DBS checks where required by the venue or applicable regulations.
Verified Space operates a two-way feedback system. Store managers may rate fundraisers, and charity organisations may rate venues. When providing feedback, you must:
Be honest, fair, and constructive. Base ratings on genuine experiences. Not submit false or malicious reviews. Not attempt to manipulate or artificially inflate ratings.
We reserve the right to remove feedback that violates these standards or our Acceptable Use policy. Ratings contribute to the platform's reputation system and may influence a charity's access to early booking opportunities.
Charity organisations are responsible for the conduct of their assigned fundraisers. Fundraisers must:
Behave professionally and courteously at all times while at a venue. Comply with all venue rules, health and safety requirements, and applicable regulations. Not engage in aggressive, misleading, or high-pressure fundraising tactics. Present valid identification and charity credentials when requested. Leave the venue in the condition in which they found it.
Verified Space is not liable for the actions or conduct of individual fundraisers. Complaints about fundraiser behaviour may result in reduced reputation scores, restricted platform access, or account suspension.
All content, features, and functionality of the Verified Space platform — including but not limited to text, graphics, logos, icons, software, and design — are owned by or licensed to VerifiedSpace Platforms Ltd. and are protected by copyright, trademark, and other intellectual property laws.
You may not copy, modify, distribute, sell, or lease any part of the platform or its content without our prior written consent. You retain ownership of any content you submit to the platform (such as organisation descriptions or feedback), but you grant us a non-exclusive, worldwide, royalty-free licence to use, display, and distribute such content as necessary to operate the platform.
We process personal data in accordance with our Privacy Policy, UK GDPR, and the Data Protection Act 2018. By using the platform, you acknowledge that you have read and understood our Privacy Policy. Store managers and charity organisations are responsible for ensuring that any personal data they provide about their staff or fundraisers has been collected and shared with appropriate consent.
To the fullest extent permitted by law:
Verified Space is provided on an "as is" and "as available" basis. We make no warranties, express or implied, regarding the platform's reliability, availability, or fitness for a particular purpose. We are not liable for any indirect, incidental, special, consequential, or punitive damages arising from your use of the platform. Our total liability for any claim arising from these Terms or your use of the platform shall not exceed the amount you have paid us (if any) in the twelve months preceding the claim. We are not responsible for the conduct, actions, or omissions of any user, fundraiser, store, or charity organisation using the platform.
Nothing in these Terms excludes or limits our liability for death or personal injury caused by our negligence, fraud or fraudulent misrepresentation, or any other liability that cannot be excluded or limited under applicable law.
We may suspend or terminate your access to the platform at any time if:
You breach these Terms or our Acceptable Use policy. Your charity registration is revoked or found to be invalid. You engage in conduct that we reasonably believe is harmful to other users or the platform. We are required to do so by law.
You may close your account at any time by contacting us at hello@verifiedspace.co.uk. Upon termination, your right to use the platform ceases immediately. We may retain certain data as required by our legal obligations and as described in our Privacy Policy.
You agree to indemnify and hold harmless VerifiedSpace Platforms Ltd., its directors, officers, employees, and agents from and against any claims, damages, losses, liabilities, and expenses (including reasonable legal fees) arising from your use of the platform, your breach of these Terms, or your violation of any applicable law or the rights of any third party.
We reserve the right to modify these Terms at any time. Material changes will be communicated through a notice on the platform or by email at least 14 days before they take effect. Your continued use of the platform after the effective date constitutes acceptance of the revised Terms. If you do not agree with any changes, you must stop using the platform and close your account.
These Terms are governed by and construed in accordance with the laws of England and Wales. Any dispute arising from or relating to these Terms or your use of the platform shall be subject to the exclusive jurisdiction of the courts of England and Wales.
Before initiating any legal proceedings, we encourage you to contact us to attempt to resolve the dispute informally. We are committed to fair and reasonable resolution of any issues.
If any provision of these Terms is found to be invalid, illegal, or unenforceable, the remaining provisions shall continue in full force and effect. The invalid provision shall be modified to the minimum extent necessary to make it valid and enforceable while preserving its original intent.
These Terms, together with our Privacy Policy and Cookie Policy, constitute the entire agreement between you and VerifiedSpace Platforms Ltd. regarding your use of the platform and supersede all prior agreements, understandings, and representations.
